Cancellation Policy for Instructor Led Sessions

At City Bloc, we understand that sometimes plans change. However, late cancellations have a real impact – not just on our instructors, but on how we schedule our team, plan our resources, and run sessions effectively. This policy exists to ensure fairness, protect our team’s time, and help us keep delivering high-quality, well-run climbing experiences for everyone.

Cancellation Period

Any cancellation request must be submitted at least 48 hours before the scheduled session.

Cancellation Notification

Cancellations must be communicated in writing via email or through the designated communication channel provided by the instructor or organising entity. Verbal cancellations will not be considered valid.

Refund Policy

Refunds for cancellations will be provided based on the following conditions:

• If cancellation is made within the specified cancellation period, a full refund will be issued.
  
• Cancellations made after the specified period may not be eligible for a refund, or a partial refund may be provided at the discretion of the instructor or organising entity.
  

Rescheduling

In some cases, participants may have the option to reschedule their session instead of cancelling. Rescheduling requests must also be made within the specified cancellation period and are subject to availability.

Minimum Participation Requirement

The session may have a minimum participation requirement. If this requirement is not met, the session may be subject to cancellation by the instructor or organising entity, in which case participants will be notified and provided with applicable refund options.

Force Majeure

In the event of unforeseen circumstances or force majeure events such as natural disasters, severe weather conditions, or other emergencies, the cancellation policy may be waived or modified. Participants will be notified of any changes to the cancellation policy under such circumstances.

Non-Attendance

Participants who fail to attend the session without prior cancellation notice will not be eligible for a refund or rescheduling.

Special Circumstances

Requests for exceptions to the cancellation policy due to extenuating circumstances will be reviewed on a case-by-case basis. Participants must provide adequate documentation to support their request.

Policy Acknowledgment

By registering for the session, participants acknowledge that they have read and understood the cancellation policy and agree to abide by its terms and conditions.

Policy Changes

The cancellation policy is subject to change at the discretion of the instructor or organising entity. Any changes to the policy will be communicated to participants in advance.
